➤ Each registration must be fully paid prior to the start of the workshop to guarantee access to the event and all remaining fee conditions.
Visa Information
Citizens of countries outside the Schengen Area might need to apply for a Visa before traveling to Italy. Check the following website for further information: Visa for Italy. Visa applicants may send an e-mail to the Workshop Secretariat requesting a Letter of Acceptance and will need to provide their full name, date of birth, passport number and passport expiry date (to be included in the Letter). Applicants must be an author of an accepted paper (oral or poster).
Workshop Cancellation Policy
Cancellations and refunds must be requested by e-mail to the Workshop Secretariat. Refund conditions for registrations already paid in full are:
• Registrations cancelled until April 10th, 2025, will be refunded 70% of the registration fee
• Registrations cancelled from April 11th, 2025, onwards will not be eligible for a refund
Insurance and Liability
The registration fee does not include personal or property insurance and the SPI 2025 Organization will not assume any responsibility for injury or damage to person or property throughout the duration of the workshop. Participants are therefore advised to make their own insurance arrangements as pleased (e.g., travel, valuable items, medical assistance, etc.) before traveling to the workshop venue. If the workshop is postponed or cancelled in its whole due to force majeure events, or due to events not imputable to wrongful intent or gross negligence from the SPI 2025 Organization, the participants cannot hold the Organization liable for any damages, costs or losses incurred, such as (but not limited to) travel and accommodation costs or other indirect losses and consequential damages.
Data Protection
Throughout the event, the SPI 2025 Organization members and/or authorized media representatives will take photographs of participants, and may also take video and/or audio recordings. These materials may be published, reproduced and exhibited in print and/or online media to report about SPI 2025 or to announce future SPI events. By attending the event, you implicitly agree to the production and use of these materials as herein detailed.
