«Social Events Bundle» registration fee includes all Social Events from Sunday to Tuesday:

ATTENTION: Each registration must be fully paid prior to the start of the workshop to guarantee access to the event and all remaining fee conditions.

Workshop Cancellation Policy

Cancellations and refunds must be requested by e-mail simultaneously to the Workshop Secretariat and the Administrative Secretariat. Refund conditions for registrations already paid in full are:
• Registrations cancelled until April 30, 2026, will be refunded 80% of the registration fee
• Registrations cancelled from May 1 until May 13, 2026, will be refunded 50% of the registration fee
• Registrations cancelled from May 14, 2026, onwards will not be eligible for a refund

Visa Information

Citizens of countries outside the Schengen Area might need a Visa before traveling to Italy. For further information, check the Visa for Italy website: vistoperitalia.esteri.it.
Authors of an accepted paper (oral or poster) may request a Letter of Acceptance for Visa Application by sending an e-mail to the Workshop Secretariat. You will need to provide the following information, to be included in the Letter:
• Full name
• Affiliation (Institution/Company)
• Nationality
• Date of birth (dd-mm-yyyy)
• Passport number
• Passport expiry date (dd-mm-yyyy)

Data Protection

The SPI 2026 Organization will act as the controller regarding the collection and processing of personal data in the strictest confidentiality and under the legislation in force, the General Data Protection Regulation (GDPR), 2016/679 – 27/April/2016. Any identifying information (e.g., name, email) will be collected and processed exclusively for participation management and provision of additional event information and services. Data will not be shared with third parties under any circumstances, and it will be accessed only by authorized personnel within the SPI 2026 Organization. Upon registering for the event, you acknowledge having read and understood this Privacy Policy, and accept how we collect and use your personal data.

Media and Image Policy

Throughout the event, the SPI 2026 Organization members and/or duly authorized professional service providers may take photographs, video and audio recordings, to document and display the event experience. These materials may be published, reproduced, and exhibited in print and/or online media (associated with the SPI 2026 Organization or IEEE) to report about SPI 2026 and to announce future SPI events. By attending the event, you acknowledge and agree to the production and use of these materials as herein detailed.
Attendees and sponsors are encouraged to share their own event experience (e.g., text, photos, video, live streaming on social media), provided it does not infringe on the rights of other attendees, sponsors, third-party service providers, or IEEE. Such infringement includes (but is not limited to) the reproduction or distribution of confidential or proprietary materials, such as presentation slides and videos (unless explicit consent has been granted by the presenting authors).

Insurance and Liability

The registration fee does not include personal or property insurance and the SPI 2026 Organization will not assume any responsibility for injury or damage to person or property throughout the duration of the workshop. Participants are therefore advised to make their own insurance arrangements as pleased (e.g., travel, valuable items, medical assistance, etc.) before traveling to the workshop venue. If the workshop is postponed or cancelled in its whole due to force majeure events, or due to events not imputable to wrongful intent or gross negligence from the SPI 2026 Organization, the participants cannot hold the Organization liable for any damages, costs or losses incurred, such as (but not limited to) travel and accommodation costs or other indirect losses and consequential damages.
